Fiscal Year 2022 & 2023 HOA Successes

1. City of Beavercreek Mtg 10 April 23

  • HOA concerns addressed: Drainage issue, Roundabouts, & Bike Path Connection
  • Established monthly mantainance schedule for Roudabouts. No schedule established for 5+ years
  • Engineering Dept. to address drainage issue present in community for 7+ years
    • Dirt added to pond area to assist with drainage issue.
    • Possible additional dirt and pipe to be added
    • New playground with higher ground to be constructed in pond area in 3+ yrs
  • Bike Path
    • $8.4 million in grants just awarded to the city
    • The project will widen the portion of Beaver Valley Road from just north of Hazel Drive to Dayton-Xenia Road to three lanes to match the adjoining pavement width to the north.
    • The existing side-path along the frontage of Hunter’s Ridge will also be extended south to connect to Dayton-Xenia Road.
    • Grant $1.273m, City share $0.75m and Township share $0.23m
    • Construction is estimated to begin in 2028

2. All HOA homeowner dues were paid in full in 2022 with no outstanding balances due for the first time in the HOA’s history

  • Credit is due to the use online payment system
  • 350 of 401 homeowners using the system in 2022
  • Receipts are automatically generated and sent to homeowners
  • Accuracy of recording payments has been dramatically increased that will serve to eliminate the serious bookkeeping problems experienced in the past with dues record keeping in future years
  • Process of mailing required HOA Annual Meeting notices and invoices has been streamlined post cards instead of letters
    • Database of HOA homeowners addresses has been matched with the Greene County Property tax records and cross matched with the United States Postal Service records and is accurate and complete going forward.

      • Cost reduced by over 75% from nearly $1000 to $250

3. First HOA to establish Electronic Database

  • Result of increased use of Cheddar Up Payment System, HOA now has 350 confirmed electronic email addresses from the community of 401 homes
  • Ability to send inquiries, notices , and message to the community without the use of Postal Mail

4. Cost savings

  • First HOA to reduce already low price HOA due of $100 to $85. Reduction of HOA dues was possible due to reassessment of finances, hiring an Accounting Firm, building electronic database to complete community inquiries like notices of sale, requests for home invoices, and finding cheaper solutions to mailing out notices to the community
  • Saved $2000 in unnecessary tree care treatment, and automation of payment of most HOA bills
